From clients and project enquiries:

From candidates and CV submissions:

  • • Current location, availability and right-to-work status
  • • Preferred project locations and travel constraints
  • • Role applied for, qualifications and competency evidence
  • • CV document and any uploaded certification files
  • • Any additional information provided in the application message

From portal users (contractors and clients):

  • • Name, email address and account type
  • • Company name (for client accounts)
  • • Password stored using a one-way cryptographic hash; the original password is never stored
  • • Timesheet submissions including project name, hours worked and notes
  • • Certification documents uploaded through the portal
  • • Approval and rejection records

4. Retention periods

  • • General client and project enquiries: 24 months after the last meaningful contact
  • • Unplaced candidate profiles: 24 months after the last meaningful contact, unless the candidate refreshes their details or asks to remain in the network
  • • Placement, assignment, contract and compliance records: up to six years after the relevant assignment or business relationship ends
  • • Timesheet, invoice, payment and accounting records: retained for the applicable statutory accounting and tax period
  • • Rejected portal-access requests: up to 12 months
  • • Portal and security logs: up to 12 months unless longer retention is required to investigate an incident
  • • Cookie consent preferences: according to the actual cookie durations listed in the Cookie Policy

After the applicable retention period, personal data is securely deleted or anonymised. To request early deletion, contact [email protected].

  • • With website, portal, email and secure-storage technology providers who process data on our behalf under data processing agreements
  • • With professional advisers including legal and accountancy advisers where necessary
  • • With regulatory authorities, law enforcement or courts where we are legally required to do so

6. International data transfers

Energy Rigging operates primarily in the United Kingdom and selected European countries. Where personal data is transferred outside the UK or European Economic Area in connection with an international project, we take appropriate steps to ensure that the transfer is subject to adequate safeguards, including standard contractual clauses or equivalent mechanisms recognised under UK data protection law.

Where a candidate is being considered for a project in a country outside the UK or EEA, we will inform the candidate before any transfer takes place.

7. Data security

We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss, destruction or alteration. These include one-way password hashing, access controls, secure transmission protocols and regular review of our security practices.
